This Data Retention Policy explains how www.karbandhu.in (the "Website") collects, stores, maintains, archives, retains, secures, and permanently disposes of information, documents, records, communications, and other data received from Customers, Professionals, visitors, business entities, and other Users of the Website. This Policy forms an integral part of the Privacy Policy, Terms and Conditions, and all other policies published by KarBandhu. By accessing or using the Website, registering an account, submitting documents, requesting services, or otherwise interacting with KarBandhu, every User acknowledges that they have carefully read, understood, and agreed to the terms of this Data Retention Policy.

2 Our Commitment

KarBandhu recognizes that the services offered through the Website involve the handling of highly confidential personal information, taxation records, accounting documents, statutory filings, business information, identity documents, financial records, compliance reports, and other sensitive information. Accordingly, KarBandhu is committed to retaining such information only for as long as reasonably necessary to provide services, comply with applicable legal obligations, resolve disputes, maintain business continuity, protect legal rights, prevent fraud, satisfy regulatory requirements, conduct audits, enforce contractual obligations, and fulfil legitimate business purposes.

3 Retention Period Factors

The duration for which information is retained depends upon several factors, including the nature of the service requested, the type of information collected, statutory record-keeping obligations, taxation requirements, accounting standards, contractual commitments, litigation risks, regulatory directions, operational needs, security considerations, and the legitimate interests of KarBandhu. Different categories of information may therefore be retained for different periods depending upon the applicable legal or operational requirements.

4 Customer Information Retention

KarBandhu may retain customer registration information, account details, contact information, communication history, service requests, uploaded documents, verification records, invoices, payment confirmations, taxation records, accounting information, compliance documents, government acknowledgements, business registrations, professional communications, customer support records, website activity logs, audit trails, login history, electronic records, digital consents, OTP verification records, and similar information for as long as reasonably necessary to fulfil the purposes for which such information was collected or as otherwise required under applicable law.

5 Statutory Filing Records

Where services involve statutory filings before government authorities, regulatory agencies, tax departments, licensing authorities, or other competent bodies, KarBandhu may retain copies of submitted applications, acknowledgements, certificates, statutory returns, supporting documents, correspondence, approvals, rejection orders, notices, responses, and related records for a reasonable period in order to facilitate future reference, compliance verification, customer support, legal defence, audit requirements, or regulatory enquiries.

6 Financial Records

Information relating to payments, invoices, receipts, transaction confirmations, tax invoices, credit notes, debit notes, payment gateway records, settlement reports, refunds, accounting entries, and other financial records may be retained for such periods as may be necessary to comply with applicable taxation laws, accounting standards, financial reporting obligations, audit requirements, anti-fraud measures, and other statutory obligations applicable to KarBandhu.

7 Professional Information

Information submitted by Professionals, including registration details, educational qualifications, professional memberships, certificates of practice, identity documents, verification records, performance history, customer feedback, assignment history, communications, and compliance-related records may be retained throughout the period of association with KarBandhu and for a reasonable period thereafter for regulatory compliance, dispute resolution, quality assurance, legal defence, fraud prevention, contractual enforcement, and legitimate business purposes.

8 Technical & Security Data

KarBandhu may retain website usage information, system logs, device information, security logs, access records, server logs, IP addresses, authentication records, cybersecurity monitoring information, fraud detection records, and technical diagnostics for as long as reasonably necessary to maintain Website security, investigate incidents, prevent unauthorized access, identify technical issues, improve system performance, conduct forensic investigations, comply with cybersecurity obligations, or protect the lawful interests of KarBandhu and its Users.

9 Deletion Requests

Where a User requests deletion of personal information or closure of an account, KarBandhu shall make reasonable efforts to honour such request to the extent permitted under applicable law. However, Users acknowledge that certain information may continue to be retained where such retention is required to comply with statutory obligations, taxation requirements, accounting standards, court orders, regulatory directions, contractual commitments, fraud prevention measures, pending investigations, legal proceedings, dispute resolution, enforcement of legal rights, or any other lawful purpose recognized under applicable law. Deletion of information may therefore be subject to legal limitations, operational requirements, and legitimate business interests.

10 Secure Disposal & Shredding

Where information is no longer required for operational, contractual, or legal purposes, KarBandhu may securely delete, anonymize, archive, destroy, overwrite, de-identify, or otherwise permanently dispose of such information using commercially reasonable methods designed to reduce the risk of unauthorized recovery or misuse. The method of disposal may vary depending upon the nature of the information, the storage medium, applicable legal obligations, technological capabilities, cybersecurity considerations, and accepted industry practices.

11 Backup Copies

KarBandhu may maintain secure backup copies of information for disaster recovery, business continuity, cybersecurity, archival purposes, system restoration, legal compliance, operational resilience, and data integrity. Backup data may remain stored for a reasonable period even after information has been deleted from active operational systems. Such backup information shall remain subject to appropriate security safeguards and shall only be restored or accessed where reasonably necessary for legitimate operational, legal, or technical purposes.

13 Data Security Safeguards

KarBandhu implements commercially reasonable administrative, organizational, physical, and technical safeguards to protect retained information from unauthorized access, disclosure, alteration, destruction, theft, misuse, accidental loss, or unauthorized processing. Access to retained information is restricted to authorized personnel, assigned Professionals, technology partners, auditors, legal advisors, or other persons who require such access for legitimate business, legal, contractual, or regulatory purposes and who are subject to appropriate confidentiality obligations.

14 User Responsibility

Users remain responsible for maintaining their own copies of important documents, certificates, acknowledgements, registrations, tax returns, financial records, and other information submitted to or received through KarBandhu. Although KarBandhu may retain copies of certain documents for operational purposes, Users should not rely exclusively upon KarBandhu as the sole repository of their records. KarBandhu shall not be responsible for any loss arising from a User's failure to maintain independent copies of important documents.

15 Anonymized Data

KarBandhu reserves the right to retain anonymized, aggregated, statistical, analytical, or de-identified information indefinitely where such information no longer identifies any individual and is used solely for business analytics, service improvement, research, quality assurance, trend analysis, cybersecurity, fraud prevention, operational planning, reporting, or other legitimate purposes permitted by applicable law.

16 No Obligation to Retain

Nothing contained in this Data Retention Policy shall be interpreted as creating an obligation upon KarBandhu to retain any specific document, record, or information for any particular period unless such retention is expressly required under applicable law or contractual obligations. Likewise, nothing in this Policy shall prevent KarBandhu from deleting information earlier where permitted by law and where such information is no longer reasonably required for operational or legal purposes.

17 Policy Amendments

KarBandhu reserves the right to amend, modify, replace, update, suspend, or discontinue this Data Retention Policy at any time to reflect changes in applicable laws, regulatory requirements, judicial decisions, technological developments, operational practices, cybersecurity standards, or business requirements. Any revised version shall become effective immediately upon publication on the Website unless otherwise specified. Continued use of the Website after publication of the revised Policy shall constitute acceptance of the updated terms.

18 Severability & Waiver

If any provision of this Data Retention Policy is held by a competent court or authority to be invalid, unlawful, or unenforceable, such provision shall be deemed severed without affecting the validity, legality, or enforceability of the remaining provisions, which shall continue in full force and effect. Failure by KarBandhu to enforce any provision of this Policy shall not constitute a waiver of any legal right or remedy available under applicable law.

19 Governing Law

This Data Retention Policy shall be governed by and construed in accordance with the laws of the Republic of India. Any dispute, claim, controversy, action, or legal proceeding arising out of or relating to this Data Retention Policy, the retention or deletion of information, the use of the Website, or any services provided by KarBandhu shall be subject exclusively to the jurisdiction of the competent courts situated at Lucknow, Uttar Pradesh, India.
